Terms and Conditions

Registration

The 10k and 6k are run under Association of Running Club (ARC) rules for trail races.

  • Runners must be 16 or over for the 10k.
  • Runners under 15 must be accompanied for the 6k.
  • If your club is affiliated to England Athletics or ARC, you can pay £2 less than the full entry fee. Otherwise, you must pay the £2 for insurance.

Anyone aged under 16 must provide the consent of a parent or guardian.

Race Numbers will not be posted. Collect them on Wednesday evening from Aldershot Cricket Club, or from Race HQ on the morning of the race.

The online entry system will close at midnight on the Tuesday before the race, so that entries can be processed and Race Numbers prepared for collection on Wednesday evening. Entries will open again on Thursday then finally close on Friday at midnight.

Race Day Rules

No dogs are allowed with runners – No canicross.

No pushchairs or bikes – sorry, the course is not suitable for anything with wheels.

No picnics on the course – we’re happy for you to have a picnic at the Finish.

No littering the course. Please take gel wrappers home with you.

All Runners must wear the Race Number assigned to them pinned to their front. Do not wear someone else’s number. This can mess up the results and you will not be insured.

Runners must follow instructions as given from all event officials including race staff and officials, volunteers, medical personnel, security officers and council officials before, during and after the race.

By participating in the race, all Runners are confirming that they are fit enough to complete it. Runners enter at their own risk. We can take no responsibility for illness, injury, loss or damage suffered by entrants.

Any valuables should be left in your car. We can’t take responsibility for any bags or items left around Race HQ.

Entry Changes

You can switch from the 10k race to the 6k race by sending us a request using the Contact Us form. You can do this any time up to midnight on the Friday before the race. After that, you can switch by informing the registration team when you collect your Race Number.

You can’t switch from the 6k race to the 10k race.

Up until midnight on the Tuesday before the race, you can update your own details (date of birth, club, address, etc) via the Woodland Woggle race page on the online entry system. On the right of the page, under ‘Information’ click on ‘Edit Details and Transfer Entry’. Login by entering your email address and Unique Reference Number. If you don’t have a URN, click on ‘Forgot Reference Number’ and enter your email address to get it sent to you, then you can login. Choose the option to update your details, change whatever needs updating, then Save the changes.

After midnight on Tuesday, or if you have any problem doing the online changes, use the Contact Us form and we will do the changes for you. You can do this up until midnight on the Friday before the race. After that, you may be able to get the change done at Race HQ on the morning of the race but we’ll be very busy so get there early.

Entry Transfers

If you can’t run the race, you can transfer your entry to another person (as long as they meet the age requirement for the race). Up until midnight on the Sunday before the race, you can do this via the race page on the online entry system. Login (as described above) then choose the option to transfer your entry to someone else. You’ll need to supply their email address. The new person will get an email and will need to fill in all their own details on the online system.

After midnight on Sunday, or if there is a problem doing the transfer online, use the Contact Us form. We’ll need the email address of the new person. We’ll then contact them to get their details (Name, Title, Date of Birth, Sex, Club) then make the transfer. You can do this up until midnight on the Thursday before the race. After that, the new person may be able to get the change done at Race HQ on the morning of the race but we’ll be very busy so they must get there early.

Entry Deferrals

If you can’t run the race, we prefer you to transfer your entry to someone else rather than defer it to the following year. Every deferred entry costs us money as we will have already paid for your medal, Race Number, etc.

If you can’t find anyone to transfer to then we may be able to defer your entry to a future race is you’re sick or injured, there’s a family emergency, etc. You need to get in touch using the Contact Us form before midnight on the Friday before the race. After that it will be too late.

Entry Refunds

Unfortunately we are not able to offer refunds on entry fees. If you can’t run then we would prefer that you transfer your race number to another person.
