Blackwater Valley Runners (BVR) is committed to protecting and respecting your privacy. For any Personal Data you provide for the purposes of your race entry, BVR is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk). We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.
What Personal Data we hold on you
You will give BVR information about yourself when you complete the online race entry form, use the Contact Us form, or send us emails. The information you provide may include your name, date of birth, postal address, e-mail address, phone number; Optionally you may also provide relevant medical information which is classed as special category personal data.
You may also write some of this information on the back of your Race Number before the race.
Why we need your Personal Data
BVR requires your Personal Data to be able to administer your race entry, and provide race results. Any special category health data BVR holds on you is only for the purpose of dealing with a medical emergency. BVR processes this data on the lawful basis of consent. Therefore, BVR will need your explicit consent to process this data; this will be requested when you enter the race.
You have the option of providing us with your Race Number after the race, in order to enter a draw for a free race place the following year.
We may use your email address to inform you about future races that we organise.
Sharing your Personal Data
BVR uses an online company called The Entry Point to process your Personal Data. This company provides its own Privacy Notice which can be found on its website.
When you pay for a race entry, this is handled by a financial services company called Stripe. This company provides its own Privacy Notice which can be found on its website.
If there is a medical emergency during the race, your Personal and Health Data may be passed to a company providing Medical Services cover for the race.
How long do we keep your Personal Data?
All Race Numbers with Personal Data written on the back will be destroyed shortly after the race.
Your race entry details may be held online by The Entry Point for up to 4 years, so we can email you details of future races that we organise.
Your name, age category, and club will be published in the race results, which can be found on the Results page of the race website and may remain there for several years.
